The Real Goal Collect exactly enough to make the next decision better — nothing collected “just in case.”
Ask This, Not That
Ask “What’s going on with the [product/service] that made you call today?” — not “What’s your inquiry type?” The first gets a sentence worth reading; the second gets a category worth ignoring. Ask “What’s the best number to reach you, and do you prefer a call or a text?” — not just “Phone number?” One gives you a usable channel; the other gives you a field. Ask “Is there anything specific you’d like us to know before someone calls you back?” — not nothing at all. Skipping this is how commitments get lost.
The Follow-Through Identity fields (name, number, preferred contact) let the business continue the conversation. The customer’s own words about why they called tell the next employee more than any category label ever could. Anything the AI promises — a callback time, a specific note — has to be written down as a commitment, not a footnote.
Skip This If If a question’s answer wouldn’t change what the business does next, it doesn’t belong in the intake — it’s just friction with a form field attached.
