If you’re only checking this list after a lead complains about slow response, you’re already a step behind. Run it before that happens.
Before the lead arrives
Every lead source has a destination. Phone tracking numbers are active. Website forms are tested. Text replies are visible. Sales email inboxes are monitored.
When the lead arrives
Arrival time is preserved. Source is captured. Owner is assigned. First response target begins immediately. Backup coverage exists if the owner is unavailable.
First conversation
Customer need is understood. Location is confirmed when relevant. Service fit is checked. Only necessary qualification questions are asked. Next step is explained.
If contact fails
Voicemail outcome is recorded. Text is used when appropriate. Next attempt is scheduled. Wrong numbers stop the call cadence. Customer timing requests are honored.
If the lead qualifies
Correct appointment path is used. Required details are confirmed. Handoff summary is complete.
If the lead does not qualify
Reason is specific. Customer receives a respectful explanation. Marketing can see recurring bad-fit categories.
At the end
Every active record has a next action. Every closed record has a reason. Managers can report response, contact, qualification, and appointment rates.
Nothing above requires new software. It requires someone deciding, in writing, what happens at each of these moments — before the next lead tests whether anyone actually decided.
