How an AI Receptionist Should Hand Off a Qualified Lead

The Moment 8:41 in the morning. The AI receptionist just finished a call with Diane, who’s thinking about replacing eight aging windows in her Mesa home because the west-facing rooms are unbearable by afternoon. The call ends. Somewhere, a Project Manager’s phone buzzes with a new lead notification.

What’s Actually Being Asked The real test isn’t whether the lead got logged. It’s whether the Project Manager can pick up the phone and continue the conversation Diane already started — without making her explain herself from scratch.

The Sequence Start with six things the receiving person needs, no more and no less: who the customer is, what they want, where the property is, why the lead qualifies, what’s already been discussed, and what should happen next. Turn that into a short narrative instead of a wall of fields — something like: “Diane owns a home in Mesa and is considering replacing eight original windows because the west rooms run hot. Open to an in-home estimate next week, prefers afternoons. No pricing discussed.” That’s enough for the PM to start naturally. Keep the structured data too — phone, email, source, campaign, appointment time — it still needs to live in the CRM for reporting. Carry any promises forward: if the AI told Diane someone would call by noon, or that she asked not to be reached before 10, that has to travel with the lead. For anything urgent or high-value, don’t assume a notification equals a human seeing it — build in acknowledgment or escalation if nobody claims the lead in time.

The Trap Dumping twenty raw CRM fields on the Project Manager and calling it a handoff — or worse, losing the one promise that made Diane feel taken care of.

Bottom Line A handoff works when the next person can act without asking the customer to repeat themselves.
